TruBiz Interpreting Services LLC — The Collective

This Privacy Policy explains how TruBiz Interpreting Services LLC (“we,” “us,” or “our”) collects, uses, and protects your information when you use The Collective platform (“Platform”). By using the Platform, you agree to the practices described in this policy. This policy is incorporated by reference into our Terms and Conditions.

The Collective is a professional development platform for ASL interpreters operated by TruBiz Interpreting Services LLC. We are the data controller for personal information collected through the Platform.

2.

Information We Collect

2.1 Account Information

When you create an account, we collect:

  • Name and email address
  • Password (stored as a cryptographic hash "” never in plain text)
  • Certification level and type (self-reported or verified)
  • Profile information you choose to provide (bio, specialties, credentials)

2.2 Content You Upload

We collect and store content you actively provide:

  • Practice videos and recordings
  • Feedback and comments you write for other users
  • Stimulus responses and annotations
  • Group posts and messages

2.3 Usage and Activity Data

We automatically collect certain information when you use the Platform:

  • Pages and features you visit
  • Actions performed (videos viewed, feedback submitted, certifications requested)
  • Session timestamps and duration
  • IP address and general geographic region
  • Device type and browser information

2.4 Payment Information

If you subscribe to a paid plan, payment information (card details) is collected and processed directly by Stripe. We do not store your card number or CVV. We receive and store a Stripe customer ID and subscription status to manage your membership tier.

When you contact us by email, we retain those communications for support and legal purposes.

How We Use Your Information

We use the information we collect to:

  • Create and manage your account
  • Provide Platform features (video storage, feedback tools, groups, certification tracking)
  • Process subscription payments and manage billing
  • Send transactional emails (account confirmation, password reset, certification status, payment receipts)
  • Display your content to the intended audience (yourself, your groups, your mentors) based on your privacy settings
  • Enforce our Terms and Conditions and Community Standards
  • Respond to support requests and reports
  • Generate anonymized, aggregated analytics for platform improvements and agency reporting
  • Comply with legal obligations

We do not sell your personal information to third parties. We do not use your content to train AI models.

Default Privacy Model

All content you upload to The Collective is private by default. We apply the least-permissive visibility level until you actively choose to share content.

You must take an active step to share content beyond private use.

Video and Content Ownership

You retain full ownership of all original content you upload. By uploading content, you grant TruBiz Interpreting Services LLC a non-exclusive, worldwide, royalty-free license to:

  • Store and process your content on our infrastructure (Cloudflare R2)
  • Display your content to the intended recipients based on your privacy settings
  • Retain your content for as long as your account is active or as required for legal compliance

We do not claim ownership of your content. This license ends when you delete the content or close your account (subject to legal retention requirements).

Deleting Content

You may delete videos from your account at any time. Content already referenced in feedback threads may remain visible within historical records unless fully deleted system-wide. Some content may be retained for dispute resolution or legal compliance even after deletion request.

Content Visibility Controls

You control who sees your content through visibility settings on each video and group membership choices. Feedback visibility may be:

  • Public within a group
  • Private to you only
  • Mentor-only (if applicable)

Visibility settings are controlled by you or your group administrator. Platform administrators may access any content for safety review, dispute resolution, or legal compliance.

Agency Accounts & Data Access

If your account is associated with an agency, the following data access rules apply:

What agencies can see by default

  • Aggregated analytics (usage, activity, engagement "” anonymized)
  • Group-level performance data
  • Certification distribution summaries (anonymized)

What agencies cannot see without your consent

  • Your private videos
  • Personal feedback threads
  • Activity outside your shared agency groups

User-controlled sharing

You may explicitly grant agency access to individual videos, group activity, and performance feedback. Consent is explicit, logged, and revocable where systemically possible. Agencies may not export your videos outside the platform, use your data for disciplinary action outside agreed use cases, share your content with third parties without permission, or attempt to reidentify anonymized data.

Third-Party Services

We use the following third-party services to operate the Platform. Each has its own privacy policy.

We only share your data with third parties as necessary to provide the Platform services described above.

9.

Data Retention

We retain your data for as long as your account is active or as needed to provide Platform services.

  • Active accounts: All account data, videos, feedback, and activity logs are retained while your account is active.
  • Deleted accounts: After account deletion, we retain data for a limited period (generally 90 days) for dispute resolution and legal compliance before permanent removal. Some data may be retained longer if required by law.
  • Anonymized data: Aggregated, anonymized analytics data may be retained indefinitely as it cannot be used to identify you.
  • Payment records: Billing records may be retained for up to 7 years for tax and legal compliance purposes.

Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate or incomplete data
  • Deletion: Request deletion of your account and personal data (subject to legal retention obligations)
  • Portability: Request an export of your data in a structured, machine-readable format
  • Restriction: Request that we limit processing of your data in certain circumstances
  • Objection: Object to processing of your data for certain purposes

California residents have the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. Cookies and Tracking

The Collective uses the following types of cookies and storage:

  • Authentication cookies: Required to keep you signed in. These are session cookies managed by Supabase.
  • Preference storage: Local browser storage to remember your platform preferences (e.g., selected trade tier, UI state).

We do not use advertising cookies, cross-site tracking pixels, or third-party analytics trackers. You may disable cookies in your browser settings, but this will prevent you from signing in to the Platform.

Children's Privacy

The Collective is intended for users who are at least 18 years old (or the age of majority in their jurisdiction). We do not knowingly collect personal information from anyone under 18. If you believe a minor has created an account, please contact us at TruBiz.collective@gmail.com and we will promptly remove the account.

Data Security

We take reasonable technical and organizational measures to protect your personal information, including:

  • Encryption of data in transit (HTTPS/TLS)
  • Encrypted video storage with access-controlled presigned URLs
  • Row-level security policies on all database tables
  • Password hashing (your password is never stored in plain text)
  • Rate limiting and abuse prevention on all API endpoints
  • Regular security reviews of our infrastructure

No system is completely secure. In the event of a data breach that affects your personal information, we will notify affected users in accordance with applicable law.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date at the top of this page and may notify you by email or in-platform notification. Continued use of the Platform after changes constitutes your acceptance of the updated policy.
